Donation Policy

 Donation Policy

Donations are accepted in accordance with the information provided below.

The Yıldız Technical University Central Library acquires materials not only through purchases but also through donations as part of its collection development process. This document has been prepared to explain the process, acceptance criteria, and evaluation principles for individuals and organizations wishing to make donations.

As a university library, our library serves a specific user group (students, academic staff, and researchers), unlike public libraries that cater to a broad audience. For this reason, certain principles and limitations must be adhered to when accepting donations.


Acceptable Materials

Donations that may be added to the library collection include:

  • Books, periodicals, audiovisual materials, etc., that are appropriate for the university’s educational, instructional, and research purposes.

  • In the social sciences, publications older than 30 years from the date of donation are not accepted.

  • In the natural and applied sciences, works published more than 10 years ago are not accepted.

  • There are no time restrictions for literary works.

  • For periodicals to be added to the collection, the series must be complete.

  • Multi-volume works, such as encyclopedias, must be complete.

  • For manuscripts and rare printed works, the date requirements may be relaxed.


Materials Not Accepted

The following materials are not accepted as donations:

  • Newspapers and promotional publications distributed by newspapers

  • Periodicals that do not contribute to the integrity of the collection, single issues, and offprints

  • Elementary and high school textbooks

  • Photocopies, mimeographs, and pirated publications

  • Publications intended for ideological or religious propaganda, or containing content incompatible with moral values

  • Multiple copies of the same work

  • Physically damaged materials, those with missing pages, or materials bearing the stamps of another institution

  • Personal notes, documents, and personal belongings


Donation Process and Evaluation

  • Individuals or organizations wishing to make a donation must apply to the Directorate of Libraries and Documentation.

  • A committee of 2–3 members formed by the Directorate evaluates the materials.

  • The materials are delivered to the library with a “Donation Receipt.”

  • Resources deemed suitable by the committee are added to the collection; those deemed unsuitable are sent for recycling or referred to other institutions.

  • Materials not added to the collection are not returned to the donor.


Processing Priority

  • The addition of donations to the collection is processed in accordance with the library’s acquisition policy.

  • Purchased materials and user requests take priority over donations.


Donation Requests by the Library

The library may request donations from individuals or institutions when it deems necessary.


About Special Collections

  • No special collection area or shelf space is allocated to donors.

  • However, a special section may be created for collections consisting of manuscripts or rare works, or for collections that are particularly rich in a specific subject area. This decision is made by the Library Advisory Board.


Stamping and Sealing Procedures

  • The stamp “Donated to our Library by ………………” is affixed to the inside cover of each donated item.

  • Donors who wish to do so may have a seal made bearing their first and last names and submit it to the library. This seal is stamped on the inside cover of the donated items.


Acknowledgment and Notification

  • The Directorate sends donors an official letter thanking them and providing information about the donation process.


Compliance with Policy

  • Committee members act solely within the scope of this policy.

  • Except as provided in this guideline, conditional donations or other requests will not be accepted.
