Frequently Asked Questions

MEMBERSHIP PROCEDURES

Go to the “Log In” link at https://yordam.yildiz.edu.tr, enter your student ID number as your username and the first 4 digits of your Turkish ID number as your password, and accept the “User Agreement.”  Once you have completed these steps, your membership will be activated. 

Academic and administrative/contract staff employed at our university must apply for a library membership via the “Sign Up” tab at https://yordam.yildiz.edu.tr

The application form that opens must be filled out completely; the “Privacy Notice” and “Consent Form” must be accepted. Simply entering information through the system is not sufficient to complete the membership process.

Once the information has been entered, a notification SMS will be sent to the phone number provided in the system. To activate their membership, staff members must visit the following locations in person with their Institutional ID Card: for the Davutpaşa Campus, the Central Library Building (New Library), Block B (1st Floor), Circulation/Membership Services Unit; or, for the Beşiktaş Campus, to the Circulation/Membership Services Unit at the Şevket Sabancı Library Building (1st Floor). The membership process is completed after the relevant unit has approved the application.

Graduates and retirees may only use on-site library services; they may not borrow publications.

Only students at the master’s degree level or higher whose external user membership requests have been approved may use the library’s on-site services; they may not borrow publications. Click here for more information.

Membership registration cannot be processed without a YTÜ staff or student ID card. (Entry is also permitted with a temporary student ID, provided it is current.)

After clicking the "My Library Account" link and entering your employee ID number or student ID number as your username and the first 4 digits of your Turkish ID number as your password, you can change your password in the "My Personal Information" section if you wish.

Go to the library page, click the "Forgot my password" link in the login section, and request that your password be sent to the email address on file with the library, or contact the Circulation Desk. /You can change your password by contacting the units listed below via email, phone, or in person.

CENTRAL LIBRARY RESERVATION PROCEDURES

Yes. You must make a reservation to use the study areas.
Only users coming to borrow or return books may enter without making a reservation.

You can do this through the Cep Kütüphanem mobile app (Apple Store / Google Play) or at https://ktprezervasyon.yildiz.edu.tr.

Yes. If you don't have a reservation, you can log in via the Cep Kütüphanem mobile app by generating a QR code—but only to check out or return books.

Reservations can be made up to 3 days in advance or on the spot (at the door).

Yes. You may check in no more than 15 minutes before your reservation start time.
Earlier check-in is not permitted.

If the QR code or university ID card is not scanned within the first 30 minutes of the reservation time, the reservation will be automatically canceled.

Users who make a reservation but do not use it will be blocked by the system from making a new reservation for 1 day.


 

Yes. If you are unable to make your reservation, you can cancel it through the system no later than 60 minutes before the reservation time.

You may make a maximum of 4 (four) reservations on the same day, subject to availability.

Yes. A total of 75 minutes of break time is allotted for each reservation.
This time can be used in increments.

If you do not enter through the turnstiles by the end of the break period, your reservation will be canceled and the area will be cleared by library staff.

For Group Study Room reservations, the Turkish ID card numbers of at least 3 (three) people must be entered into the system. Reservations with incomplete information will not be considered valid.


 

Yes. At the time of the reservation, all users listed on the reservation must be present at the library. Otherwise, the reservation may be canceled.


 

LOAN PROCEDURES

YTÜ faculty members, YTÜ administrative staff, and students currently enrolled at YTÜ in associate’s, bachelor’s, master’s, and doctoral programs, as well as students studying at our university through exchange programs (Erasmus, Farabi, Mevlana, etc.), are eligible to use the lending service.

You cannot borrow books from the circulation desk without a YTÜ staff or student ID card. (You can borrow books with a recently issued temporary student ID.)

You do not need to have your YTÜ staff/student ID card with you to borrow books from the Self Check/book machine. All you need is your library password.

Yes. If you do not have any overdue items or late fees, you can check out or return books using the self-checkout kiosks located at the library entrance. You can renew a book if there are no late fees on it and it has not been reserved; students and administrative staff may renew the book once, master’s and doctoral students twice, and faculty members three times by logging into their library account within the last 5 days of the return period.

If your account includes books past their due date or subject to overdue fines, or if the item you have checked out has been reserved by another user, you cannot renew it. In such cases, you must contact the circulation desk. 

If you are a YTÜ faculty member, staff member, or student, you can borrow a book you found in the Catalog Search section by retrieving it from its shelf and using the Self Check/Kitapmatik machines to check it out yourself. To borrow the book, place it on the black surface of the Self Check/Kitapmatik machine, log in to your account, and click the “I want to borrow” button. 

You do not need to have your YTÜ staff or student ID card with you to return books via Self Check or the book return machine. No membership information is required for the return process. You can easily return books using the Self Check or book return machine.

You can check your status by clicking the "My Library Account" link and logging in with your username and password. (For first-time users: username is your employee ID number or student ID number; password is the first 4 digits of your Turkish ID number.) In addition, you will receive a notification message at the email address and current cell phone number registered with the library as the due date approaches. It is the user’s responsibility to track the due date; failure to receive an email or SMS due to technical issues does not exempt the user from this responsibility.

There may be system-related issues; however, as stated in theLibrary Guidelines,” it is your responsibility to keep track of the due date for the item you have borrowed and to keep the library informed of your current phone number.

You must return items borrowed from the library on the Beşiktaş campus to the library on the Beşiktaş campus, and items borrowed from the library on the Davutpaşa campus to the library on the Davutpaşa campus.

A late fee of 1 TL per day will be charged for each item not returned on time. If the delay exceeds 30 days, a late fee of 2 TL per day will be charged for each item. Click here for details on late fees.

No. Under no circumstances can a loan transaction be made using a card belonging to another user.

Yes. Someone else can handle the return process on your behalf.

No. Subscription renewals cannot be processed by someone else. You can renew your subscription online by logging in to your account.

No. You cannot receive a new publication until you return the overdue one and pay the late fee.

No. For academic/administrative staff, the termination of employment form must be approved; for students, you must obtain approval from the library unit via OBS or pay the penalty incurred for the approval of the termination of employment form.

You can log in to the system using your username and password via the "Log In" section on our Library page to track the due dates of the items you have checked out. (For first-time users: username is your employee ID number or student ID number; password is the first 4 digits of your Turkish ID number.) 

Yes. You can view this information by logging in with your username and password via the link on our library page and accessing the "Member Services" section. (For first-time users: username is your employee ID number or student ID number; password is the first 4 digits of your Turkish ID number.) 

You must purchase an identical copy of the item you lost—or the most recent edition, if available—and return it to the circulation desk, and you must also pay the late fee incurred due to the loss. If you are unable to locate the item, please contact the library. Click here for more information.

No. We do not provide information about people who borrow books.

You can reserve a book you found in the Catalog Search section and that is marked as "on loan" in its details by entering your username and password under "Log In." Click on the book that is on loan and select the "Reserve" icon in the top-right corner. When the book is returned, a notification will be sent to your registered email address or phone number.

No. Magazines are not available for loan.

This is the process of borrowing dictionaries for a period of three hours. (Dictionaries may be renewed once for an additional three hours.)

The procedure ensures that publications borrowed from the library—for 60 days for faculty members; 30 days for doctoral and master’s students and administrative staff; and 21 days for undergraduate and associate degree students—remain with the borrower until the end of the loan period, to ensure the item(s) remain with the borrower for the full duration of the loan period. 

You can pay your library fine—provided you have no overdue items and there are no holds or reservations on the item you wish to renew—by logging in to the "My Library Account" link with your username and password, or through the "My Mobile Library" app on your cell phone.

If there are no holds or reservations on the item you wish to renew, you have no library fines, and you have no other overdue items, you can renew them without visiting the library by logging in with your username and password via the “My Library Account” link or the “My Mobile Library” app on your cell phone. 

If you have fines, you can visit the library during business hours and pay them at the circulation desk. 

If another user needs the item you have checked out and that user has placed a hold on it in the system, and if you also have an outstanding fine, you cannot renew the loan.

Yes. As long as you don't have any overdue publications or late fees, you can extend the deadline once.

You can borrow items by the hour. Please contact the circulation desk for details.

There may be system-related issues; however, as stated in the Library Guidelines,” it is your responsibility to keep track of the due date for the item you have borrowed and to provide the library with your current email address.

INTERLIBRARY LOAN AND DOCUMENT DELIVERY SERVICE FOR PUBLICATIONS, THESES, AND DOCUMENTS / ILL

This service provides access to books, articles, documents, and theses not available in YTÜ libraries through public and private libraries located within Turkey.

You can find out more via the TO-KAT National Union Catalog link, which provides access to all libraries in Turkey through a single link.

It includes books, articles, documents, and theses that are not subject to lending or copying restrictions.

DVDs, CDs, reference materials (dictionaries, encyclopedias, etc.), and magazines are not accepted. (Articles may be accepted.)

YTÜ faculty members can take advantage of the interlibrary loan (ILL) service for publications and documents.

The service itself is free of charge, but the requester is responsible for covering shipping and any photocopying fees, if applicable.

You must log in using your username and password via the “My Library Account” link, fill out the “KAÖ Request” form in the “Member Services” section completely, and click the “Save” button. (For those logging in for the first time, your username is your employee ID number; your password is the first 4 digits of your Turkish ID number.) 

The electronic resources to which the library subscribes (e-journals, e-books, e-reference resources, databases, etc.) are listed on our library website under "e-Resources."

For full-text theses you cannot access through the YÖK Thesis Center, or to access master’s and doctoral theses produced at other universities in Turkey, simply fill out the Domestic Thesis Request Form

For articles in journals published in Turkey that are not available in our library, simply fill out the Domestic Article Request Form

Through the ProQuest Dissertations & Theses Global database, you can access the full texts of theses completed at international universities since 1997, and abstracts of theses completed since 1861. 

We do not have access to any other theses from abroad.

Audio-visual materials (tapes, CDs, DVDs), reference materials (dictionaries, encyclopedias, maps, posters, etc.), special collections, and entire issues of a journal may not be requested.

Although this number may vary depending on the policy of the library from which you are requesting publications, articles, or theses, you are entitled to request approximately 10 books, articles, or documents per week via TÜBESS and 3 theses per week via the Domestic Thesis Request Form.

Intra-city orders take 5–7 days; inter-city orders take 7–10 days.

The user who submitted the request is notified via email or phone.

This timeframe varies depending on the policy of the library requesting the publication, article, or thesis. (15–30 days)

The Interlibrary Loan (ILL) unit will inform you of the due date when the item is delivered to you, and you will be notified separately by email or phone as the due date approaches.

Fines for information resources received through Interlibrary Loan (ILL) are charged at twice the rate of fines for resources in our library collection.

Returns are made by bringing the items to the library and handing them over to the Interlibrary Loan (ILL) desk, along with the shipping fee.

No. Returns of received materials are handled by the Interlibrary Loan (ILL) unit.

Even if you do not pick up a publication you have requested from the library, you are required to pay the round-trip shipping fee and any photocopy charges, if applicable.

We will try to obtain the publication from another library. You can search for alternative libraries via the TO-KAT National Union Catalog link.

You can request the publication again by logging in with your username and password via the “My Library Account” link and filling out the “Interlibrary Loan Request” form in the “Member Services” section.

 You can request an article. Simply fill out the Overseas Article Request Form. The relevant department will get back to you.

PERIODICALS

In the Catalog Search field, you can view all periodicals by entering the title, subject, and keywords.

Periodicals from the current year are located on the “Current Periodicals” shelves; periodicals from previous years are in the archive. You can check them out at the circulation desk on your campus between 8:30 a.m. and 4:00 p.m.

You can find them on the ground floor of the Davutpaşa and Beşiktaş libraries, arranged in alphabetical order on the open shelves. (Back issues are located on the closed shelves.)

Back issues are available in the archive. You can check them out by visiting the Circulation Desk on your campus between 8:30 a.m. and 4:00 p.m. and use them inside the library.

Current print journals are arranged on open shelves in alphabetical order; back issues are arranged on closed shelves in alphabetical order.

No. You may use them within the library, make photocopies in accordance with copyright laws, or scan them using the BookEye/scanner located on the ground floor of the Davutpaşa Library. You may save them to a portable storage device that you bring with you.

Yes. You can access the system from off-campus by configuring a proxy server or using VETIS—the Alternative Off-Campus Access System.

Using the BookEye (scanner) system located on the ground floor of Davutpaşa, you can scan materials in accordance with copyright laws and save them to a flash drive you bring with you.

No.

It states that periodicals produced by public and private institutions, organizations, and universities are provided to our library free of charge and made available on the donation shelf for a certain period of time.

ELECTRONIC RESOURCES /E-BOOKS/E-JOURNALS/E-THESES, etc.

These are online information resources that contain electronic journals, books, theses, articles, conference proceedings, meeting minutes, standards, musical scores, protocols, experiments, and informational materials on molecules and formulas; information within them can be searched according to various criteria.

You must log in using your username and password via the "My Library Account" link, fill out the "Request an Item" form completely, and click the "Save" button. 

(For those logging in for the first time, your username is your employee ID number or student ID number; your password is the first 4 digits of your Turkish ID number.)

It is the electronic version of a printed journal, book, or thesis. Some e-journals and e-books may also have been produced electronically without a printed version.

There may be a temporary access issue, there may be access restrictions on the publication based on month and year, or you may be trying to access a publication that is closed to access or archived, predating the available year range.

No. You need to check the E-Books and Journals List to see if the journal you're looking for is available online. 

By logging in to the "E-Book and Journal List," you can access a list of all the e-journals to which the library subscribes, organized by subject. 

By accessing the e-journal list and entering the name, subject, or ISSN number of the journal you’re looking for in the search field, you can then search within that journal for the year, article, author, etc., to gain direct access to the article you want.

No. You can contact the Electronic Resources Unit to receive detailed training on how to search the database, or you can attend the training seminars held throughout the year.

By accessing the "E-Book and E-Journal List," you can view an alphabetical and subject-based list of all electronic publications (e-journals, e-books, e-theses, etc.) to which the library subscribes.     

The coverage period for the journals varies depending on the license agreements we have signed.

No. This practice, defined as "systematic downloading," is subject to legal penalties, including membership termination. Click here for more information.

Access is available only to the e-books we have subscribed to. You can view the e-books we have subscribed to or purchased by checking the E-book and Journal List.

This varies depending on the license agreements we have signed. The method of accessing e-books is determined by the provider or publisher. For this reason, while some purchased or subscribed-to e-books allow the entire book to be downloaded, others can only be downloaded in sections or read on a computer screen.

Through the ProQuest Dissertations & Theses database, you can access the full texts of theses completed at international universities since 1997, and abstracts of theses completed since 1861. 

The DSpace Institutional Repository provides open access to master's and doctoral theses produced at our university. 

You can access it from the "e-Reference Resources" section of the library's website. 

You can access it via the "E-Resources" link on the Library's website. 

In accordance with the licensing agreement, accounts can be created for our faculty members who hold a Ph.D. or higher. Click here for more information. 

THESES

Yes. All theses for which the author has not imposed any restrictions are available as PDFs. You can access the PDF of a thesis you found in the Catalog Search section by logging in with your username and password via the "My Library Account" link.

You can search the YÖK National Thesis Center website to access approved theses in PDF format.

This refers to the thesis author imposing access restrictions on the thesis. The author may restrict access to their own thesis for a maximum of 3 years. In this case, a printed copy of the thesis may be requested.

YTÜ faculty members who have searched for theses on the YÖK National Thesis Center website but were unable to access them can fill out the Domestic Thesis Request form available on the library’s website to request the thesis from the YÖK Thesis Center through the library using a service called TÜBESS. (In accordance with a decision by the YÖK Thesis Center, this service is intended solely for academics. (Since correspondence with YTÜ faculty members will be conducted via email addresses ending in @yildiz.edu.tr, it is mandatory to include an email address ending in @yildiz.edu.tr on the completed form.)

REQUESTING MATERIALS / PROCESSING PUBLICATION REQUESTS

This is the process of submitting a request for the library to acquire any type of printed or electronic publication (books, journals, dictionaries, encyclopedias, etc.) that is not currently available in the library and that you would like the library to purchase.

YTÜ faculty members, administrative staff, and students currently enrolled at YTÜ may submit requests for works.

You may submit as many requests for materials as you wish. If the requested items are available in the collection, they are evaluated based on criteria such as circulation status and year of publication to create a purchase list. Price quotes are then obtained for the relevant list, which is submitted to the Library Advisory Board for approval. Incoming requests are evaluated by the Committee based on the availability of funds in our budget, and purchase procedures are initiated for materials deemed appropriate.

You may submit as many requests for items as you wish. If the items are available in the collection, a purchase list is compiled based on criteria such as borrowing frequency and year of publication. Price quotes are then obtained for the relevant list, which is submitted to the Library Advisory Board for approval. Incoming requests are evaluated by the Committee based on the availability of funds in our budget, and purchase procedures are initiated for materials deemed appropriate. 

After checking whether the item you wish to request is available in the library, you can log in using your username and password via the "My Library Account" link and submit your request through the request form. (For first-time users: Username: your employee ID number or student ID number; Password: the first 4 digits of your Turkish ID number.) 

Yes. Requests can be submitted in either printed or electronic form.

Purchases of goods are made in bulk in accordance with the Public Procurement Law, and delivery times vary depending on the type of tender and procurement method. 

You can find out which publications you have requested from the library by searching the library catalog in the "Catalog Search" section or by checking the "New Arrivals" list on the library's website. Announcements are also posted on the website.

Requests for works that have not been approved by the Library Advisory Board, as well as works already in the collection, out-of-print works, works not in stock, works no longer for sale, etc., cannot be fulfilled.

GENERAL QUESTIONS

Our Davutpaşa Main Library is open 24/7. Our Beşiktaş Şevket Sabancı Branch Library is generally open from 8:30 a.m. until 11:00 p.m. 

You can check the operating hours—which may vary depending on official holidays and the academic calendar—on the Library’s website under “Operating Hours” or in the announcements section.

Master’s and doctoral students from other universities, as well as faculty members, researchers, Y.T.Ü. alumni, private-sector employees, and other external users may use the Y.T.Ü. Libraries in accordance with the rules established by the Directorate of Libraries and Documentation. These users may not borrow publications. They may use library resources within the library—excluding individual study rooms—between 9:00 a.m. and 8:00 p.m., provided they use other study areas. Since the capacity of our libraries’ study rooms is limited, external users (upon submission of a written request accompanied by a photocopy of their ID) may use YTU libraries for a period of one (1) month starting from the beginning of the Fall/Spring semester as specified in the academic calendar. However, they may not use the libraries outside of this specified period.

The screening service for YTÜ staff and students is provided on the ground floor of the Davutpaşa Central Library; you must bring your YTÜ staff or student ID card and a USB flash drive with you.

Books are arranged on the shelves using a system called the LC (Library of Congress) classification system. This ensures that all books on a specific subject are placed side by side on the shelf. When you search the catalog, you can see the “location” field on the far right of the publication’s entry, which indicates on which campus, on which floor, and on which shelf the book is located. You can find the book by looking up its shelf number. (Don’t forget to write down the book’s shelf number on a piece of paper!)

Please check whether the book is in the Beşiktaş Branch Library or the Davutpaşa Central Library. Check whether the book is currently checked out by another user. (For items currently checked out, the due date” is listed; for items that should be on the shelf, the word “on shelf” is indicated.) If you still cannot find it, please contact the floor staff at the information desk on each floor. If there are no floor staff available, please go to the “Circulation Desk.”

The process of selecting student assistants is carried out in coordination with the Directorate of Health, Culture, and Sports and the Directorate of Library and Documentation. Since the first stage of the application process is handled by the Directorate of Health, Culture, and Sports, it is necessary to follow the announcements issued by that unit.

The 18 “individual and group study rooms” located on the -1st floor of the Central Library are designated for individual study by YTÜ faculty members, master’s, and doctoral students.
